Videoconferencing

AMT offers a high-definition (HD) Polycom 9000 series videoconferencing system in the New Media Classroom (NMC), and a portable video and audio system (no data sharing from a computer) for use in other campus locations. Both systems connect via IP addresses, but outside bridging services can be contracted if the far site uses ISDN connections.

A pre-event test is mandatory a minimum of 24 hours prior to the actual event to confirm connection and troubleshoot technical issues.  Consequently, a minimum of 72 hours notice is required in order to coordinate information and scheduling between sites.

Some features of videoconferencing in the NMC include:

  • Two HD and one standard definition video cameras, for a variety of framing options
  • Data-sharing via your laptop, as well as Smart technology integration for annotation
  • Conferencing with up to three Polycom-compatible remote sites and two analog telephone sites; the use of a bridging service can connect more
  • Video and data images shown on 42-inch and 50-inch plasma displays
  • Use of additional NMC equipment, including two high-definition LCD projectors, a 16:9 SmartBoard, and 16-foot enamel whiteboards
  • Comfortable accommodation for up 25 participants

  • Specify the Caltech location, at the NMC <map> or other location
  • Specify the far site location, including the name of the institution or business, geographic location, and time zone
  • Name of Caltech conference coordinator and phone number
  • Name of the far site technical contact, including email address and phone number
  • Date and time of the conference test
  • Date and time of the conference event
  • PTA account number, UID, or other prearranged payment method
  • Long distance code for phone calls
  • Estimated size of the Caltech audience
  • Whether or not you need to share desktops.; copies of presentation materials should be distributed to all sites prior to the conference to serve as back-up, in the event of bandwidth or system issues.

Sample: Cost estimate for a 1-hour conference event is $240.00. Includes a test session to verify connections and the actual conference day
Technicians are available for an additional labor rate. Overtime labor for evenings/weekend events
Standard hours of operation: M - F   8:00am - 5:00pm
HD camera system displayed on two 50" plasmas.    Room seats 25.   Slides can be shared in the call with the remote site
